The Office Assistant position will report to the CFO and Senior Accountant and will have ongoing responsibilities to the executive team, project managers, technical operations, and our administrative support staff.  This is a full-time, in-office position from Monday to Friday, 800 am to 500 pm, located at our head office in Edmonton, Alberta.

The successful candidate should have the following:

Qualifications:

  • Minimum requirement of a high school diploma;
  • Administrative/Office or reception experience;
  • Able to work independently and meet critical deadlines;
  • Exceptional communication skills – both written and verbal;
  • Working knowledge of Microsoft software programs;
  • Working knowledge of financial control software; and
  • Accounting experience would be an asset.

Responsibilities:

  • Reception: answering phones, incoming and outgoing mail, monitor emails;
  • Office: management of supplies, cleaners, waste management and couriers;
  • General: manage boardroom, lunchroom area and orientation of guests;
  • Accounts Payable: virtual filing, email suppliers, and vendor statement review;
  • Accounts Payable: vendor coding with support for input into the system;
  • Accounts Payable: expense review and support for input into the system;
  • Accounts Receivable: support for invoicing, deposits and collection calls;
  • Accounting: Technical recovery, equipment logs, and truck logs;
  • Project Management: opportunity to assist our executive and project management team with the daily completion of numerous tasks associated with our ongoing portfolio of projects;
  • Assist with health & safety filing;
  • Other duties as required to support the team;
  • Comply with fair and equitable human resources policies that meet federal and provincial employment standards; and
  • Assist in the presentation and administration of company policies and procedures.
